Before your first batch
A few practical answers.
How do we get started?
Prepare a brief with document types, estimated volume, required fields, output format, and deadline. We then agree on a secure way to review representative samples, define a small paid pilot, and confirm pricing, responsibilities, and acceptance criteria before processing.
Which industries do you support?
Our initial focus is freight forwarding, customs brokerage, import/export businesses, and logistics back-office teams handling commercial invoices, packing lists, and bills of lading. Related teams, such as wholesale importers, distributors, and other businesses with document-heavy back offices, are welcome. We do not currently offer general healthcare, legal, or financial-compliance services.
Can you do work that isn't listed here?
Very likely. Tell us what you need and how you work today. If it involves documents, data, and accuracy, we will look at it with you, suggest a small trial, and agree the scope before anything starts. We would rather build the right service for you than fit you into a fixed menu.
Do you work with businesses in the Philippines?
Yes. We are based in the Philippines and work with local businesses as well as international teams. Quotes can be in Philippine pesos or your own currency, and we can meet by phone, video call, or in person where practical.
Can you help with a one-time backlog?
Yes. Backlog-clearing batches are part of our service, alongside recurring overflow. We confirm volume, document complexity, reviewer availability, and delivery timing before accepting a batch.
Do you guarantee that every field is correct?
Our workflow uses checks and human review to reduce errors. Quality requirements and acceptance checks are agreed for each pilot. Missing, unreadable, or conflicting source values are flagged rather than guessed; we do not promise zero errors.
Is your Document Desk live?
Yes. It is in pilot testing: it reads PDFs (including scanned pages), checks documents against each other, and records every correction and approval. Each pilot starts with representative documents so we can confirm accuracy for your document types before regular work. The sample on this page uses fictional data.
Do you handle bills of lading?
Yes: master and house bills of lading and sea waybills, with every container, seal, and size. We check the B/L against the packing list and invoice (packages, weights, volume, and parties) and flag anything that doesn't agree.
Can you deliver in our CargoWise format?
We can map the reviewed data to CargoWise-ready XML. The mapping is tested in your own CargoWise environment (for example, a sandbox) before we use it for live work. Excel, CSV, and JSON are available from the start.
How is a batch priced?
After reviewing representative samples, scope is based on pages, line items, scan quality, required fields, exceptions, and turnaround. You receive a scoped quote before work begins. A short invoice and a long document with hundreds of line items may require different pricing. Rates and any minimum batch charge will be agreed for the pilot.
Do you change the original documents?
No. We correct the extracted data only; your original documents are kept exactly as received. Missing or conflicting source information needs your confirmation.
Do we need access to your software?
No. You can email documents with your instructions and receive the reviewed files in the same email thread, or use another agreed secure channel. Integrations such as CargoWise XML are scoped separately.
Can all your employees see our documents?
No. Only authorized people assigned to processing, review, or approved support work on your documents, each under their own account, and every action is recorded.
Will our files be used in demos or shared with others?
We commit not to publish your files, sell document data, or use them in portfolios or demos without explicit permission. Authorized processing providers and support personnel are disclosed and agreed in advance. Any disclosure required by law is handled under the applicable obligations and our agreed notification terms.
Can we agree confidentiality terms before sending samples?
Yes. Confidentiality, permitted recipients, tool use, storage, and retention can be agreed before sample transfer. For a first discussion, fictional or redacted documents are best.
What security or compliance requirements can we discuss?
Before processing, we discuss confidentiality agreements, permitted staff and subcontractors, approved extraction providers, access controls, data locations, retention/deletion, and incident communication. Client-specific requirements are checked against our actual workflow before being promised. Please don't send documents through the quote form.
